What can I do with duplicate records in SP after data sync?

There are several reasons why you may have duplicate records in the system: data synchronization from multiple data sources (SISes) or duplicate records directly in your SIS. 

There are a few ways to resolve/merge duplicate records.

  • Configure the Master field.

To set up Master fields, please follow the instructions below:

  1. Login to your School Passport  profile, and navigate to Connect (Data-Sync) module;
  2. Go to the Data Quality section on the left-side panel;
  3. Open the Duplicates tab and choose the entity (Student, Teacher. etc.) you want to configure the Master Field for; 
  4. Click on the + NEW MASTER FIELD button;

  5. Once the Master Field is created, it can be configured. Select the desired attribute in the Property Name field.
  6. Select the application of the data source from which the attribute data will be loaded.
  7. Select the required mode: Master or Do not override.

    Master  - data from the selected attribute and data sources will be loaded as primary;

    Do not override - data from the selected attribute and data source will not be overridden;
  8. After everything is set, click the SAVE button at the right bottom of the screen;
  9. Force data sync for data sources.

  • Resolve duplicate records manually.

To resolve duplicate records manually, please follow the instructions below:

  1. Login to your School Passport  profile, and navigate to Connect (Data-Sync) module;
  2. Go to the Data Quality section on the left-side panel;
  3. Open the Duplicates tab and choose the needed entity (Student, Teacher. etc.). A list of duplicate records will appear. 
  4. When you open any of them, you will see 2 conflicting entries. The one with blue blocks pictogram image11 is for those entries that are already in the system; another SIS pictogram stands for entries pulled from another data source;
  5. Press the image2 icon, to add attribute data from one entry to another (in this particular case, data from the right column will be added to the left one). Useful when you need to merge the data. Press the image4 icon to replace the attributes with one another.
  6. There are 3 actions you can do with these attributes data.

    Use the SAVE button to save the attributes you see in this column after changes are made. 
    Use NOT DUPLICATE to save the current record of the data (the other one will remain in duplicates). Resolves only current issues.
    Use EXCLUDE FROM SYNC to delete (ignore) the selected entry from the sync.

    • Force data sync for data sources.
