My data is not syncing with School Passport or data at GG4L is not up to date

Product: SP Connect (Data-Sync) Module

Privileges: Primary Admin privileges

 

There are a few possible reasons that can lead to this issue:

  • Failed connection with your SIS (invalid API credentials)
To check the API connection with your SIS, please follow the instructions below: 
  1. Login to your School Passport profile, and navigate to Connect (Data-Sync) module;
  2. On the Home section, click the SIS icon;
  3. In the top right corner of the screen, hit the Settings (gear) button;
  4. On the Delivery Config tab click the blue TEST CONNECTION button. If “Connection is ok” go back to the SIS App dashboard and force data sync by clicking the green RUN IMPORT button. If you see “Failed to establish connection”, make sure the values of Service URL, Client ID, and Client Secret, are equal to the ones in your SIS. If API credentials in your SIS don’t match with those at School Passport, populate the relevant ones.

  • Disabled Sync Schedule.

To check if you have enabled/disabled Sync Schedule, please follow the instructions below: 

  1. Login to your School Passport  profile, and navigate to Connect (Data-Sync) module;
  2. On the Home section, click the SIS icon;
  3. If the Sync Schedule is disabled, at the top of the screen you will see a corresponding notification:

  4. To configure the Sync Schedule, click on the link in the notification window highlighted in blue, and set up a time that you would like us to sync with your SIS. Or in the top right corner of the SIS App dashboard, hit the settings (gear) button, and in the Schedule section set up a Sync Schedule.

Note: In the Schedule section of Configurations you can set up periodicity (daily, weekly) and exact time of data synchronization. You can also choose the date by which the sync will be executed.


  • Disabled Bulk upload mode. 

If Bulk upload mode is disabled our system won’t delete any records based on a comparison with the last upload. In this case, new data will be synced, but old data won’t be deleted. To check if you have enabled/disabled Bulk upload mode, please follow the instructions below: 

  1. Login to your School Passport  profile, and navigate to Connect (Data-Sync) module;
  2. On the Home section, click the SIS icon;
  3. In the top right corner of the screen, hit the Settings (gear) button;
  4. On the Delivery Config tab click “Advanced Settings” at the bottom and make sure the checkbox is checked for "Bulk upload mode. System will detect deleted records based on comparison with the last upload".

  • Enabled Data Rollover. 

This functionality was developed to prevent issues during the school year rollover - a crossing period when current data is to be dropped but the new one is still being prepared. By using this feature you can suspend the data importing process, as well as disable data deletion in the GG4L Connect module - for the data rollover period (School Year or Semester rollover).

To check if  Data Rollover is disabled, please follow the instructions below: 

  1. Login to your School Passport  profile, and navigate to Connect (Data-Sync) module;
  2. Navigate to the Administration section and click on the Data Rollover tab;
  3. Make sure you have unchecked checkboxes for both options: Suspend data import and Disable data deletion.
